White-label QR client handoff playbook

The Agency plan (€79/month, up to 25 connected sites) is built around multi-client work: an organization holds the billing and the plan, and each client gets their own workspace inside it. A clean handoff is five steps — isolate the client in a workspace, move their scan URLs onto their domain, apply agency branding, invite them with a role that cannot reach anything else, and ship a handover pack they can read without a login.

    Give each client their own workspace

    Do not run several clients out of one workspace. QR codes, campaigns, Link Hubs, leads and analytics all hang off a workspace, so the workspace boundary is what keeps one client from seeing another's data. Create one per client from the workspace switcher in the dashboard; the plan and the invoice stay on the organization above them. On Agency that covers up to 25 connected sites, and analytics stay queryable for 36 months — long enough for a client to compare this quarter with the same quarter last year.

    Move the scan URLs onto the client's domain

    Settings → Domains → Add domain. Enter a bare hostname such as `qr.clientdomain.com`, then create the two DNS records the panel shows: a TXT record on `_qrcs-verify.qr.clientdomain.com` carrying `qrcs-verify=<token>`, and a CNAME on the hostname itself pointing at the redirect host named in the panel. Verification does a live DNS lookup: a matching TXT flips the domain to verified, and TXT plus a CNAME pointing at us flips it to active. Only an active domain serves scans, so check the status before anything goes to print. Agency includes unlimited custom domains; Business includes one.

    Apply agency branding

    Settings → Branding: agency logo, primary and accent colours. Branding is what removes QRCode Suite from the surfaces a client actually looks at — hosted Link Hub pages, branded PDF reports and the dashboard they log into. Set it once at the organization level and every client workspace inherits it, rather than re-uploading a logo per client and drifting out of sync.

    Invite the client with a role that cannot reach anything else

    Team → Invite, then pick the narrowest role that still lets them do their job: `viewer` or `analyst` for read-only campaign and analytics access, `marketer` if the client will edit destinations themselves. Organization settings, members, billing, custom domains and webhooks are restricted to `owner` and `admin` — so a client seat cannot reach your billing or another client's workspace. A request for a workspace the account is not a member of answers 404 rather than 403, so the client never learns that other workspaces exist. One caveat worth knowing before you share credentials: API keys are scoped to the user who minted them, not to a workspace, so never hand a client your own key.

    Ship a handover pack, not a login

    Most clients read a document, not a dashboard. Generate a branded PDF report for the period and a CSV or XLSX export from Exports, and send both with the campaign summary: which codes are live, where each one points, scans and unique scans per code, and the conversion total if revenue attribution is wired up. A quarterly cadence works well — it matches the review rhythm most retainers already run on, and it gives you a natural moment to check that every destination URL still resolves.
